When multiple people collaborate on a tournament, proper account management is essential. In this article, we'll explain how accounts, user permissions and ownership work in Tournify, so you can manage your tournament together with ease.
The difference between an account and a tournament
In Tournify, there is an important distinction between a user account and a tournament. An account is your personal login that gives you access to Tournify. A tournament is a separate event that is managed through an account.
With a single account, you can:
manage multiple tournaments
collaborate with other administrators
assign different permissions to other users for each tournament
This also means that a tournament is not tied to a specific device or person, but remains linked to the account of its owner.
Managing multiple tournaments
With the same account, you can easily manage multiple tournaments. Simply go to the overview page containing all your tournaments. There, you'll find a list of every tournament you have access to. This is particularly useful for sports clubs, federations and organisations that manage multiple tournaments.
Adding team members as administrators
Are you working with volunteers, colleagues or other organisers? You can easily add additional administrators to an individual tournament.
How to add an administrator
Go to Participants
Open the Administrators section
Enter the user's email address
Note: Before someone can be added as an administrator, they must first create a Tournify account. Once they've done so, they will receive access to the tournament through their own account.
User permissions within a tournament
When you add an administrator, you can decide which parts of the tournament they have access to. This allows you to give volunteers, competition managers or communications staff access only to the features they need. Depending on their role, you can grant permissions for:
General: access to the tournament's general settings.
Participant: add or edit teams, players and participants.
Structure: manage groups, phases and the tournament structure.
Schedule: create and edit match schedules.
Presentation
Manage scoreboards
Manage the public website
Manage the slideshow
Manage the tournament design
Results
Enter and edit match results.
Manage phase progression (starting new tournament phases).
This allows every administrator to have exactly the permissions they need without granting full access to every part of the tournament.
Note: Only the main administrator can add or remove administrators, transfer tournament ownership and delete a tournament.
Additional permissions of the main administrator
The main administrator (tournament owner) can also:
add or remove administrators
permanently delete the tournament
copy the tournament
Transferring tournament ownership
Would you like to transfer a tournament to someone else within your organisation? The main administrator can transfer ownership of the tournament.
This is useful, for example, when:
another colleague takes over organising the event;
a volunteer or employee leaves the organisation;
responsibility for the tournament permanently changes within your organisation.
You can request a tournament ownership transfer by sending an email from the email address currently linked to your account to [email protected]. Please include the name of the tournament and the email address of the new account that should become the owner.
I can't find my tournament anymore
In most cases, this happens because you've logged in with a different email address or because the tournament has been deleted. Always check first which email address you used to sign in.
Good account management keeps your tournament running smoothly
Proper account management helps ensure your tournament runs smoothly behind the scenes. By assigning clear administrator permissions and managing tournament ownership correctly, you can avoid many common issues related to access, collaboration and tournament management within your organization.
FAQ
Can I give an administrator permission to enter results for only one venue?
Can I give an administrator permission to enter results for only one venue?
Unfortunately, this isn't possible. Once an administrator has permission to enter results, they can do so for every venue included in that tournament.
Can I create a "referee administrator" role for our referee coordinator?
Can I create a "referee administrator" role for our referee coordinator?
No, this is currently not possible. To add and manage referees within the match schedule, two permissions are required: Participants and Schedule. Since referees are assigned directly from the match schedule, both permissions are required.
